Before making the move, review your policies, approvals, users, integrations, reports, and historical records.   • Preserve: Keep controls and outputs that still serve a clear purpose, including required approvals, receipt policies, accounting codes, audit reports, access controls, and historical records.

  • Improve: Identify necessary processes that cause delays or extra work. Look for slow approvals, frequent exceptions, coding errors, unclear expense categories, and manual follow-up.

  • Rebuild: Determine which approval rules, accounting mappings, user roles, integrations, and reports must be configured again. Define the business requirement before recreating the process.

  • Retire: Remove unused reports, outdated approval paths, inactive accounts, obsolete accounting values, duplicate spreadsheets, and unnecessary workarounds. Confirm that nothing else depends on an item before retiring it.
