Expense software that works with your existing cards (2026)
If you want to keep the corporate cards you already have, compare platforms on issuer compatibility, transaction timing, and the features and price available without adopting the vendor's card. DATABASICS, Expensify, SAP Concur, Navan and Zoho Expense offer ways to import transactions from existing corporate cards. Compatibility depends on your specific issuer and card program. They differ in how often card data arrives, which issuers they connect to directly, and whether you also need time tracking in the same system.
DATABASICS makes one of the products on this list. We use the criteria below to explain what buyers should verify for each platform, including where DATABASICS may not be the best fit.
Why card lock-in matters to finance teams
Keeping your cards and keeping the same software price are separate questions. An expense platform may accept outside cards while offering discounts for spend on its own card. Compare the features and total price available with the card programs you intend to keep.
For a mid-market finance team, switching card programs is rarely simple. Card programs are often tied to banking relationships, credit lines, rebates and approval policies that took years to set up. Field teams may carry fuel cards from a separate provider. Staff in Canada may hold a different card than staff in the US. The expense system has to fit around those decisions, not force them.
How to evaluate the shortlist
Use these criteria to evaluate whether a platform can support your existing corporate card program:
- Works with the issuers you already use. Buyers often run more than one program at once, such as American Express alongside a Visa card from a regional bank, plus fuel cards. One platform should import all of them.
- Line-level detail from fuel cards. Fleet and fuel card transactions are more useful when the platform receives details such as gallons and product type, not just a total.
- Clear feed timing. Buyers want to know when a card transaction appears: as it happens, when it posts, or in a daily batch.
- Less manual reconciliation. Teams that reconcile card statements by hand every week want card lines matched to receipts and coded before they reach the general ledger.
- Cross-border cards. Organizations with staff in Canada or other countries need cards issued there to flow into the same system.
- Features and price without the vendor's card. Confirm which functions remain available with your existing cards and whether adopting the vendor's card changes your subscription price.
- Clean handoff to accounting. Confirm how approved card expenses reach your accounting or enterprise resource planning (ERP) system with the right general ledger (GL), project and department codes.
This shortlist draws on vendor product pages and documentation reviewed on November 2, 2026. It is a review of published information, not a hands-on test or scored ranking. The entries identify supported capabilities and questions that still require confirmation. Features, plans and card eligibility can change.

Expense management platforms to evaluate if you want to keep your existing cards
DATABASICS
Best for: mid-market organizations that want timesheets & expense reports in one system and already run card programs with one or more banks.
Strengths:
- Imports American Express, Visa and Mastercard transactions using standard card-provider files. Files are typically sent daily and imported automatically so employees can apply transactions to their expense reports. Feed setup depends on the bank or card provider's file format and delivery arrangements.
- Corporate and purchasing card (P-Card) management includes receipt matching, GL coding, policy validation, and reconciliation of unapplied charges.
- Combines timesheets & expense reports with a configurable project and activity structure supporting up to four levels. Codes can be configured for time, expenses, or both. DATABASICS lists integrations with NetSuite, Sage Intacct and Microsoft Dynamics; confirm posting destinations, coding and schedules for your configuration.
- The optional DATABASICS Visa Commercial Card adds real-time spend controls and offers 1.5% cash back on purchases. Those card controls are distinct from importing transactions from other issuers.
Limits and what to verify: Confirm support for each issuer and country, the connection method, feed timing, setup requirements, and any integration fees. For fuel cards, confirm the exact WEX program supported and whether the feed includes line-level details such as gallons and product type. Ask which controls remain with your existing issuer, and request pricing for the configuration you intend to use without replacing your cards.

Expensify
Best for: small and mid-sized teams that want to connect cards from many different banks.
Strengths: Expensify says its Bring Your Own Cards option supports 10,000+ banks and lists direct commercial feed connections with JPMorgan Chase, American Express, Citi and Capital One. Its own Expensify Card is optional.
Limits and what to verify: Expensify's FAQ says outside card transactions appear when they post, typically within 1 to 2 business days, while its own card shows transactions immediately. Expensify documents a subscription discount of up to 50% for Control workspaces on annual subscriptions, based on Expensify Card usage. Request a quote using your expected existing-card spend and confirm which plan and connection method your cards require.

Best for: large enterprises with complex global travel and expense policies.
Strengths: SAP Concur documents corporate card programs that receive automated transaction feeds from bank issuers. Its published expense plans use per-report pricing and list unlimited users.

Navan
Best for: organizations where business travel is a large share of spend.
Strengths: Navan Connect links existing Visa, Mastercard and American Express corporate cards, so you can keep your current cards. Navan's own card is optional.
Limits and what to verify: Navan's finance page states that Navan Connect reports Visa and Mastercard transactions in real time and American Express transactions daily. Its integrations directory describes Amex transaction imports as real time, so confirm timing for your specific program. Also confirm how expense and travel are priced with your existing cards.

Limits and what to verify: Zoho says its real-time feeds are available in 12 countries in North America and Europe. Zoho's US pricing page lists corporate card management and real-time Visa and Mastercard feeds under Standard. Confirm eligibility for your cards and countries. Buyer checklist: questions to ask on a demo

- Can you import transactions from every card program we run today, including our regional bank and any fuel cards, at the same time?
- For each of our issuers, is the connection a direct feed, a bank sync or a file upload, and how often does data arrive?
- Do fuel card transactions come through with line-level detail, or only a total?
- Can cards issued in Canada or other countries flow into the same system and currency rules?
- Show us how a card transaction is matched to a receipt, coded to a project and department, and approved. Who approves, and what does AI do in that flow?
- What changes in features or price if we never adopt your card?
- Which spend controls work on our existing cards, and which only work on your card?
- How do approved card expenses post to our ERP, how often, and what happens when a posting fails?
FAQ
Can we use our existing American Express or bank-issued corporate cards with expense software?
Yes, these platforms offer existing-card transaction imports, but support depends on the issuer and card program. Ask each vendor to confirm your exact cards, connection method and feed timing.
Do we have to switch to the vendor's corporate card to get the best price?
Not always. Some vendors tie their free or lowest-cost tier to their own card. Ask for pricing in writing with and without their card. Keeping existing cards does not necessarily mean qualifying for the lowest software price.
How fast do transactions from our existing cards show up?
It depends on the vendor and the card network. Some report real-time feeds for Visa and Mastercard. Others import transactions when they post, often within one or two business days. DATABASICS imports standard card-provider files that are typically sent daily. A daily feed does not guarantee that a purchase appears the day it is made; confirm issuer delivery and import timing for your program.
Can we keep spending controls on cards we don't get from the expense vendor?
In general, card-level controls such as merchant blocks and hard limits stay with the card issuer. Expense software can still enforce policy at the report and approval stage.
Will the expense system replace our ERP or accounting system?
An expense platform can manage receipts, coding and approvals while your accounting system remains the financial system of record. Confirm the integration's posting destination, schedule and error-handling process.
Is there one system for both timesheets & expense reports?
DATABASICS handles timesheets & expense reports in one system, with project and activity codes configurable for time, expenses, or both. If you also need time tracking, ask each vendor on your shortlist whether it is part of the same product or a separate purchase.

List every card program you run today, including fuel and foreign-issued cards, and send it to each vendor before the demo. Ask them to show those exact cards flowing through to an approved, coded expense report and into your ERP. To see this with DATABASICS, request a demo.
